Amfion for Zapier

Send what your assistant records in Amfion (leads, bookings, messages, waitlist sign-ups, follow-ups, and a law firm’s inquiries) to the other apps you use, bring leads in from them, and work follow-ups or update an inquiry from them.

Connect

Three steps.

  1. Create an API key in Amfion

An admin of your Amfion workspace opens Settings → Integrations → API keys, names the key (for example “Zapier”) and picks its permissions: Read records (messages, bookings, waitlist, follow-ups, inquiries) and Manage Zapier triggers for any trigger; add Complete follow-ups to complete, log attempts on, assign or link follow-ups, Create leads to use Create Lead and Add Lead Message, and Update inquiry status to use Update Inquiry Status. Zapier triggers send your records to Zapier as they happen, so a key that manages triggers needs the read permission too. The full key (it starts with amft_) is shown once: copy it before closing the window.

  2. Connect Amfion in Zapier

In the Zap editor, choose Amfion as the app, pick a trigger or action, and paste the key when Zapier asks you to sign in. Zapier checks the key with Amfion and labels the connection with your business’s name.

  3. Turn the Zap on

Turning on a Zap with an Amfion trigger subscribes it to that event. The subscription appears in Amfion under Settings → Integrations → Webhooks as a Zapier trigger, where you can pause or remove it. Turning the Zap off unsubscribes it. While you set up a Zap, Zapier shows a recent record of that kind as sample data. Follow-up and lead triggers ask whether to include contact details: choose No to send the record’s state and IDs only (add a Find Follow-up step when a later step needs a follow-up’s details).

Triggers

For every business.

New Booking Trigger

Triggers when the assistant books an appointment: the service, the time, and the customer’s name and contact details.

Every business

Waitlist Joined Trigger

Triggers when a customer joins a waitlist for a service.

Every business

Message Taken Trigger

Triggers when the assistant records a phone message or a callback request.

Every business

Leads

Leads from every source, answered and tracked.

New Lead Trigger

Triggers when a new lead reaches your business from any of your lead sources: your request form, Google lead forms, Thumbtack, forwarded emails, a webhook or another Zap.

Businesses using Amfion Leads

Lead Status Changed Trigger

Triggers when a lead moves to a new status, for example booked, won or closed, with the status it came from.

Businesses using Amfion Leads

Lead Reply Ready Trigger

Triggers when a reply is ready to send back where a lead came from, for leads created with “Reply in the source’s thread” on. Map the reply text and the lead’s ID in that app, for example into Yelp’s Create Message.

Businesses using Amfion Leads

Create Lead Action

Adds a lead from another app (for example a Yelp or Facebook lead) so it is answered and tracked with your other leads. Tick “They agreed to texts” only when the person agreed to texts in that app. A retried step returns the same lead instead of a second one.

Businesses using Amfion Leads

Add Lead Message Action

Adds the person’s new message from the app the lead came from, so Amfion can answer it there. The same message sent twice is added once.

Follow-ups

Callback requests and phone messages, owned and closed.

New Follow-up Trigger

Triggers when a callback request or phone message becomes a follow-up: who is waiting, who owns it and when it is due.

Every business except law firms

Follow-up Overdue Trigger

Triggers when a follow-up passes its due time without being marked done. If its due time is moved later and missed again, it triggers again.

Every business except law firms

Follow-up Attempt Logged Trigger

Triggers when someone tries to reach the person and can’t (no answer, or left a message). The follow-up stays open with the next try due.

Every business except law firms

Follow-up Assigned Trigger

Triggers when a follow-up gets a new owner on your team, or its owner is removed.

Every business except law firms

Follow-up Completed Trigger

Triggers when a follow-up is resolved: spoken with, booked, not needed, or couldn’t be reached after your last allowed try. It also closes by itself when the customer books, and triggers then too.

Every business except law firms

Follow-up Reopened Trigger

Triggers when a follow-up that was done is reopened for another round of work.

Every business except law firms

Complete Follow-up Action

Marks a follow-up done with how it was resolved (spoke with them, booked them, not needed, couldn’t reach them), a note and the matching record’s ID in your own system. Completing one that is already done changes nothing and says so.

Every business except law firms

Record Follow-up Attempt Action

Logs a try that didn’t reach the person (no answer, or left a message). It stays open with the next try due; your last allowed try closes it as “Couldn’t reach them”.

Every business except law firms

Assign Follow-up Action

Gives a follow-up an owner by the email they sign in to Amfion with (an active member of your business), or removes its owner.

Every business except law firms

Link Follow-up to a Record Action

Remembers which record in your own system stands for a follow-up (a CRM task, a ticket), so later steps can find it. It shows on the follow-up in Amfion.

Every business except law firms

Find Follow-up Search

Finds a follow-up by its ID, a linked record in your system, or the person’s email or phone number. Open ones come first.

Every business except law firms

Law firms

Inquiries and consultations.

New Inquiry Trigger

Triggers when someone contacts the firm about a new matter.

Law firms

Consult Booked Trigger

Triggers when a consultation is booked for an inquiry.

Law firms

Update Inquiry Status Action

Moves an inquiry to consult booked, consult attended, engaged or closed (with a reason). Only the moves an integration may make are allowed, from the inquiry’s current status; a refused move fails the step with the reason. Map the optional Request ID and a retried step applies once.

How it works

Instant, signed and in your control.

  • Triggers are instant: Amfion sends each event to Zapier as it happens, and a repeated delivery of the same event runs your Zap once.
  • Every delivery is signed with the subscription’s own secret, and the Amfion app checks the signature before a Zap runs, so knowing a Zap’s address is not enough to send it events.
  • Amfion checks the key before every delivery. If it was revoked, or its creator is no longer an admin, nothing is sent until that changes.
  • Records your Zaps use are sent to Zapier and to the apps your Zaps connect, under your own Zapier account. See Amfion’s Privacy Policy and Terms.

Troubleshooting

When something does not work.

The connection stopped working

A key works with the access of the admin who created it. If that person is no longer an admin of the workspace, or the key was revoked, Zapier shows Amfion’s message saying so. Have a current admin create a new key and reconnect.

A Zap does not trigger

Check Settings → Integrations → Webhooks: the Zapier trigger may be paused, or removed. Check that the key has both the read and the Zapier-trigger permissions. Deliveries Zapier could not accept are retried.

An action step failed

Update Inquiry Status only makes the moves an integration may make, from the inquiry’s current status; the step’s error says why a move was refused. Setting the status an inquiry already has, or completing a follow-up that is already done, succeeds and changes nothing.

A step ran twice, or on an old event

Map a Request ID (for example your CRM task’s ID) and a retried step replays its first answer instead of acting again. Map Round of work from the trigger and a step acting on an event from before the follow-up was reopened changes nothing, and says so.

Zapier asks you to upgrade

Zapier’s free plan runs two-step Zaps: one trigger and one action. A Zap with more steps, for example New Follow-up, then Find Follow-up, then Record Follow-up Attempt, needs a paid Zapier plan.

Too many Zaps or requests

A workspace can have up to 25 Zapier triggers subscribed at once, and each key up to 60 requests a minute.
